ResearchOps: How we organize UX Research Operations
In the daily work of a UX team, research is a key piece. It helps us understand people, make more informed decisions, and design with purpose. But, to be honest, we often focus so much on designing and executing studies that we put everything that makes that research happen without friction in the background: logistics, documentation, coordination, data management… This is where ResearchOps comes into play.
What ResearchOps Is (and Why It Helps Us So Much)
ResearchOps is the set of practices that support research within design teams. We are talking about processes, tools, and ways of working that allow us to do research in a sustainable, organised, and, above all, without reinventing the wheel for each new project.
As product and design teams become more mature and research gains weight in strategic decisions, we see more clearly that it is not enough to do point studies. A solid operational base is needed: something that helps us coordinate tasks, maintain quality, ensure traceability of findings, and facilitate collaboration, both within the team and with our clients.
How We Apply It in Real Projects
In our day-to-day at the Studio, we have incorporated a ResearchOps approach in different aspects of projects:
Participant Management
We have developed an internal process for managing users who participate in our research sessions. Since we usually work with specialised recruitment companies, we do not have to maintain a constant user panel.
Instead, we have a very structured methodology for updating demographic data and personal information of users that we may need during sessions, and this way we also ensure that segmentation is appropriate and the sample of participants is representative.
Data Management
Each research generates a large amount of data and material: recordings, transcriptions, notes, reports… It is important that we can locate all this information to comply with data protection law, so we have defined a structured storage system that allows us to quickly locate information and ensure compliance with legal requirements (data protection, informed consent, etc.). It is not the most visible part of research, but it has much more impact than it may seem at first.
Documentation
A key part of our operations is the documentation of processes and learnings. We have standardised templates for kickoff sessions, interview guides, participant tracking, note-taking documents, and reporting.
All these documents are constantly updated and evolving, as we iterate them as new needs appear in different projects, to facilitate our work and that of our colleagues or clients.

Adapting work methodologies to this perspective has helped us:

- Improve the quality and consistency of studies by working with more homogeneous procedures.

Good Practices That Work for Us
There are some habits we have adopted that, over time, have given us good results:
- Document from minute one. Even what seems obvious today may not be so clear in a few weeks.
- Define standards. Each study has its particularities, but having a common base helps not to leave loose ends.
- Dedicate time to organising data, ensuring its accessibility and protection.
- Maintain flexibility. Templates exist to serve the project, not the other way around. That’s why we adapt them without fear when the context requires it.
Having a well-defined research operations base helps us work more clearly, organised, and sustainably. ResearchOps is not just a matter of processes, but a way to care about how we research, how we share knowledge, and how we collaborate within the team and with our clients. When these pieces fit together, research gains strength and projects progress with more solidity.
